ImageWhile e-mail can make office communication fast and easy, it can also lead to serious time and organizational problems as well as being a constant distraction.  Imagine if the mailman brought your mail to you sporadically throughout the day, one letter at a time.  This is basically what e-mail is. One thing you can do to help you manage your incoming emails is to set your inbox to automatically search for new emails at certain intervals, say every hour or so.  This will help you to set aside some time to focus just on reading and answering your email.  Also this will help to keep you from being distracted by emails as they are received.

As you go through your e-mails, start by deleting, or moving to your junk folder all spam, nuisance, solicitation or other unwanted messages.  This will leave you with just emails that require your attention.  Now go through your emails and begin your projects.  Use your best judgment to decide which messages should be given a higher priority.

If you are receiving a high number of joke or chain letters from certain senders, just send them a polite message asking them to stop.  While some of these emails can be funny, they tend to usually just be a big distraction and can even possibly get you in trouble with your employer.

Sometimes it can seem like you may spend most of your day sitting in your office chair, reading and answering emails and this can cause you to get behind in your work.  Hopefully this will help you to keep on top of your email, and not let it distract you from getting your work done.
